Communicating Like a Professional

One of the biggest adjustments for graduate assistants is learning how workplace communication differs from student communication.

Professional communication builds trust and demonstrates reliability.

Email Etiquette

Your emails represent both you and your department.

Before sending an email:

✔ Include a clear subject line.

✔ Begin with an appropriate greeting.

✔ Write concise, organized messages.

✔ Proofread before sending.

✔ Respond within one business day whenever possible.

✔ Include a professional signature.

Avoid:

  • Text-message language
  • Excessive emojis
  • Writing in all lowercase
  • Sending emotional emails without reviewing them first

Working with Faculty

Faculty members may now interact with you in two different roles: instructor and colleague.

Until invited otherwise:

  • Continue addressing faculty professionally (typically “Dr.” or “Professor”).
  • Communicate respectfully, even in informal settings.
  • Remember that you may represent your department during meetings or events.
  • Treat faculty meetings and conversations as professional workplaces.

Working with Your Supervisor

Your supervisor wants you to succeed.

Successful graduate assistants:

  • Ask questions.
  • Accept feedback professionally.
  • Meet deadlines.
  • Communicate concerns early.
  • Keep supervisors informed of progress.

Feedback is part of professional growth, not criticism of your abilities.

Building Your Reputation

Your assistantship is helping build your professional reputation.

People notice when you:

  • Arrive prepared.
  • Follow through on commitments.
  • Treat others respectfully.
  • Volunteer to help.
  • Remain positive during challenges.
  • Demonstrate initiative.

Small actions consistently build trust.
